Administrative Assistant - CPD



Position Summary
Under the guidance of the Director for Continuing Professional Development (CPD), provides administrative support services for the division by completing administrative and organizational tasks for ongoing and project related activities.

Job Responsibilities
•    Maintains electronic calendars and arranges meetings (including scheduling rooms and videoconferences, compiling agendas and materials). Records and transcribes minutes of meetings when required
•    Provides word-processing, spreadsheet and presentation software services including drafting routine correspondence, as well as drafting, editing and formatting a variety of documents such as travel itineraries
•    Manages the office electronic and paper filing system, photocopies, and performs other daily tasks such as screening, logging and prioritizing incoming telephone calls, mail and e-mail, creating division SARFs and ITS tickets.
•    Plans and organizes travel arrangements for the division including liaising with the Human Resources department in Doha and the WCM-Q Office in NY to coordinate flights, hotel room reservations and ground transportation for educational or business purposes
•    Assists with the preparation and logistical coordination of events and activities relating to the CPD division
•    Assists faculty or staff from other divisions with any queries relating to the CPD division, either by providing information based on own knowledge or directing the query to other staff or faculty as appropriate
•    Orders and maintains appropriate inventories of office supplies, booklets, brochures and other CPD division related material
•    As required, initiates shopping carts relating to the activities of the division ensuring compliance with financial polices and procedures. Assists with the review and coordination of the payment of invoices and reimbursement of business related expenses
•    Maintains confidentiality of information and performs other job related duties as required

Requirements
Education
•    Bachelor's Degree in related field

Experience
•    Equivalent combination of education and experience may be considered.
•    3 or more years secretarial/administrative experience in related field

Knowledge, Skills and Abilities
•    Excellent interpersonal and organizational skills.
•    Previously demonstrated advanced proficiency in written and spoken English.
•    Excellent computer skills - Microsoft Office suite (word processing, Excel spreadsheets, PowerPoint, Outlook).
•    Willingness and proven ability to quickly learn new skills and acquire new knowledge in order to perform job effectively.
•    Detail oriented.
•    Ability to work independently and as part of a team, self motivated, adaptable, and possessing a positive attitude.

Working Conditions/Physical Demands
•    Flexibility in work hours. Early mornings or late afternoons may be necessary.
